What You Need To Keep In Mind When Writing a Tender To Win It

The first step towards winning a tender is writing an impressive tender request. Your tender request is the first impression you are going to leave on your client organisation. If you can get the answer to ‘why you’ right in words in a tender request, half the battle is won. 

So what makes a tender request worth winning? Here are a few things that you should keep in mind when writing a tender request. 

1. Know All About The Client

Before you even begin writing your tenders in NSW, you should know all about your client inside, out. There shouldn’t be anything that you don’t know about your client. The best way to get to know all about your client and be able to draft a tender request that would cover everything is to do a Strengths, Weaknesses, Opportunities and Threats (SWOT) analysis. This will give you a lot of information which you can use to build your case well for the tender request. It’s very important for you to address the question of what they want to get out of their project. To be able to address a question before they even ask it, you need to be thorough with the profile, history, aims and goals of the client.

2. Understand their Ideas and Values

It’s very important that your tender request is consistent with the client’s values and ideas. This is important to build a good rapport with the client and touch the chord of similarity. Believing in the same ideas and principles as the client will make you a part of them and build similarity. To successfully achieve this in your tender proposals, you should use similar keywords as your client in your tender proposal. While you’re doing this, try not to go overboard because that may come across as too strong on them. It’s very important that all elements of your tender proposal be in sync with each other. 

3. Go Beyond Answering the Questions

A simple and direct answer to the client’s question is something that everyone writing a tender request is going to do. How is your tender request going to stand out? The key is to go above and beyond the questions. Before you begin with your answer to their question, you should let them know that you expected this question and understand why they asked you this. This will show that you understand the client’s expectations, queries and make them feel comfortable once you’ve addressed their concerns.

4. Writing

Coming to the writing part of a tender request. It’s very important that you don’t use too many fancy words and jargon in your tender request. These will not make as much of an impression as you may think. Instead, they will just confuse the client and it will not be able to fulfill its aim. Technical writing such as that for tenders, business proposals etc. should simplify the complicated aims and objectives to make it easier for clients to understand you.

The key to drafting a well written tender proposal which will get through to the client is doing your research well and simplifying your objectives and ideas in words. It’s important to simplify things for the client as much as possible because a client is always looking for simple, straightforward solutions to problems and not looking to be impressed by fancy words and sentences. Although tenders are a very important and serious matter, they should be simplified as much as possible to make it easy for the client to understand what exactly is it that you’re proposing.
